Instructions and guidance on presenting your project intervention for programme shared learning event

Innovations to improve care for paediatric epilepsy patients RCPCH Epilepsy Quality Improvement Programme (EQIP)

Date: Thursday 17 March, 12:30pm – 16:00pm

Aim and Objective: Showcase QI journey and project interventions

Target Audience: Healthcare professionals working in paediatric epilepsy multi-disciplinary teams across England and Wales

Dr Pat O’Connor, QI expert trainer, CEO of QI Discovery, provides guidance and examples of how EQIP teams can begin populating their presentation slide templates and event posters in preparation of the shared learning event taking place on 17 March 2022.

Details on leading up to the event are as follows:

Step one

  • Please ensure that you have identified a speaker or speakers from your team to present on the day and provide their name(s).
  • Download the templates provided to begin populating your slides from your progress reports  and current updates.
  • Take team pics virtual or in person if possible and set-up of any patient engagement activities in clinic (eg message boards, jars collecting info, pasta voting etc)
  • All other members of team please use the following registration link
  • The event will be recorded so all team members presenting will need to submit a media consent form before the event, by 10 March 2022.

Step two

  • Please forward the registration invite and programme to your senior management or QI dept within your Trust to join you in celebrating your QI journey and shared learning.
  • Ensure Zoom is the most up-to-date version on your computer/laptop/phone
  • We can arrange help with technical advice and questions with joining instructions, just contact the team via email or call on 0207 092 6098.

Step three

  • All presentation slides and posters to be submitted by 14 March 2022.

Instructions for teams for the day of the event

  • The event will consist of team presentations of each EQIP team, using the slide and poster templates provided alongside posters, photos and evidence captured in progress reports over the course of the programme.
  • Each presentation section will have time for Q&A from the audience regarding your quality improvement journey.
  • Let’s all celebrate and engage with your colleagues during the ‘Q&A’ using the ‘chat’ feature on ZOOM and support each other’s work and success.
  • Tweet about the event and include #RCPCHEQIP.

Speakers ONLY on the day

  • All confirmed speakers for their team will receive a separate link as a presenter for the event.
  • All presentations should aim for 5-7 min in length.
  • Please check you have access to the latest Zoom update.
  • The event will be recorded so all team members presenting will need to submit a media consent form before the event, by 10 March 2022, we cannot record the event without it.
  • Arrive at least an hr before the event to check and resolve any technical issues.

Drop-in sessions

Meet with the team at anytime between 2pm -3pm on Tuesday 22 Feb and 1 March to discuss presentation or general queries.


Will their be time for questions from the audience?

Yes after the presentations their will be a short Q&A session. Questions from the audience will be read out to the speaker as they come into the chat box.

When will we receive our link to the event?

Two weeks before the event.

Are we only allowed one speaker?

Yes, each will need to sign a media consent form.

Do only speakers/presenters sign the media consent form?


Can we change the speaker on the day?

We would need to know 48 hrs before the event due to separate links etc that are involved in setting up speakers for the event that differ from attending as a delegate they will need to also submit a media consent form. Please contact asap if you have to change speaker on the day.

What is the latest I can submit my presentation?

48 hrs before the event. One the day you will be sharing your screen to host your own slides but we need a copy to avoid any technical issues on the day.

How long is the presentation for each team?

5 -7 minutes except the ICS teams who will decide how they plan to use the 25 min slot for all presenting all ICS projects. Please practice your presentation so that it fits within the allocated 7 min max.

Do I have to use the templates provided for the event?

You can use another template as long as you use the EQIP logo, and answer/cover most of the topics areas/headings shown within the current template

Due to presentation timing can I use less slides than given in the template to present on the day?

If you have practiced your presentation then yes you can reduce them down to max 7 min presentation. Please ensure your presentation includes background, how you did it, outcomes and next steps.

I am from the ICS teams, what are the plans for our presentation?

ICS teams have the choice to present collectively or separately within their 25 min slot. We will be liaising with Fraser Scott to agree plans for the ICS presentation and we are here to help and support you with presentations.

How will the posters be used?

Due to some concerns with presentation timing, you do not have to include the poster as apart of your presentation but we will use it as apart of a show-reel before and after breaks on rotation.

Can I use the slides/poster for this event again for local and other national meetings/conferences?


Will be able to access a copy of our recorded presentations on the day?

Yes once we edit the video will will send it to you for approval. We will then send you a link to the final video.
